Dimensions and weights of pallets

My Product Manager's data quality reports show that incorrectly entering dimensions, gross weight and other pallet information is one of the most common and made mistakes. Dimensions and weights follow a logical approach in which underlying trading units in a hierarchy cannot be heavier and/or larger than the parent trading unit. The retailer uses this information for ordering, stocking, and processing the pallets. 

How can you check whether your products have this error? 

Check in the data quality report, that you can find in My Product Manager under “My reports”, whether there are products that have one or more of the error messages or warnings below: 

  • If isTradeItemNonphysical  does not equal 'true' then grossWeight shall not be empty.  

  • Depth/Height/Width is missing.  

  • If targetMarketCountryCode is equal to '056' (Belgium) or '442' (Luxemburg) and any repeat of additionalTradeItemClassificationSystemCode is not equal to 64 or gpcCategoryCode is not one of ('10005844' or '10005845') and if at least one of the attributes quantityOfTradeItemsPerPallet, quantityOfLayersPerPallet, quantityOfTradeItemsPerPalletLayer, Non-GTIN pallet height, Non-GTIN pallet width, Non-GTIN pallet depth, Non-GTIN pallet gross weight or Non-GTIN pallet stacking factor is used, then all these attributes SHALL be used.  

  • If targetMarketCountryCode is equal to '056' (Belgium) or '442' (Luxembourg), and any repeat of additionalTradeItemClassificationSystemCode is not equal to 64 or gpcCategoryCode is not one of ('10005844' or '10005845') and quantityOfTradeItemsPerPallet is used, platformTypeCode SHALL be used at least once.  

Then follow the steps below to correctly enter the dimensions, gross weight, and other pallet information. In this way, the product sheets will also be visible for the data recipients, after all system checks have been re-executed. 

 How do you solve the issue or warning?  

It depends on how you register or edit the product sheets in My Product Manager.

    STEP 1  

    Log in to the webinterface of My Product Manager with your login details and go to ‘My products’.

    A distinction is made between a pallet to which a GTIN has been assigned and a pallet to which no GTIN has been assigned: 

    • For a pallet to which a GTIN has been assigned, use the search function, and enter the description, GTIN or brand of the pallet. To open the product sheet, click under 'GTIN' on the 14-digit GTIN of the pallet. 

    • For a pallet to which no GTIN has been assigned, use the search function, and enter the description, GTIN or brand of the product that is the largest packaging unit within the hierarchy (in many cases this is the 'master carton'). To open the product sheet, click on the product's 14-digit GTIN under 'GTIN'. 

    Then click on 'Edit data' to edit the product sheet.

    STEP 3

    Go to the tab ‘Dimensions’ or use the search function and enter ‘Width’, ‘Depth’ or ‘Height’.

    For pallets to which a GTIN has been assigned, the dimensions, gross weight and other pallet information must be entered (if no GTIN has been assigned to the pallet, go to step 5). Enter the dimensions, gross weight, and other information about the pallet under the tabs 'Dimensions' and 'Pallet information' or use the search function and enter 'Pallet'. 

    Enter the dimensions (preferably in units of measurement millimetres (MMT)) and gross weight* (preferably in units of measurement kilograms (KGM) or grams (GRM)).

    STEP 5

    If you as a supplier work with pallets to which no GTIN has been assigned, follow the steps below to enter the same pallet information. The dimensions, gross weight and other pallet information should be entered at the highest level to which a GTIN has been assigned in the hierarchy. 

    Enter the dimensions, gross weight, and other information about the non-GTIN pallet under the 'Pallet information' tab or use the search function and enter 'Non-GTIN pallet'.

    STEP 6  

    Click on 'Save' or 'Validate & next' to check and validate the adjustment and the entire product sheet. Are there any error messages and/or warnings? Then these must also be rectified.

    Click on 'Validate and Release', the updated product sheet is now available for data recipients.

    Verify after the release of the updated product sheet in the My Product Manager data quality report if the product sheet no longer shows an error and/or a warning.

    Log in to the user environment of your system and open the product sheet. 

    Enter the dimensions (and unit of measurement, preferably in millimetres (MMT)) and gross weight* (and unit of measurement, in kilograms (KGM) or grams (GRM)):

    STEP 3

    Make sure that the change has been saved and that the updated product sheet is available to the data recipients by releasing or (re)publishing it on the data pool.  

    STEP 4

    After release or (re)publishing, check the CIC messages from the data recipients and whether the product sheet in the My Product Manager data quality report no longer contains error messages and/or warnings.
